What has to be on an invoice

GOV.UK sets out the minimum for a normal invoice. If you are a sole trader or a limited company selling in the UK, your invoice must include:

  • A unique identification number
  • Your company name, address and contact information
  • The company name and address of the customer you are invoicing
  • A clear description of what you are charging for
  • The date the goods or service were provided (the supply date)
  • The date of the invoice
  • The amount(s) being charged
  • VAT amount, if applicable
  • The total amount owed

Sole traders must also show their own name and a business address where documents can be delivered. Limited companies that name a director on the invoice must name every director.

How to use this template

  1. Fill in your business details and your client's details on the left.
  2. Add a line for each piece of work, with quantity and unit price.
  3. Set a tax rate if you charge VAT or sales tax. Leave it blank if you do not.
  4. Press Download PDF and choose "Save as PDF" in the print dialog.

Give every invoice a unique number and use a consistent sequence — 0001, 0002, 0003 is fine. If you are VAT registered, the number must be sequential within the series you use. Never reuse a number for a different invoice.

Is this invoice template really free?

Yes. Fill it in, print it or save it as a PDF, and use it. There is no signup, no watermark and no email required.

Do you store the invoice details I type in?

No. The generator runs entirely in your browser. Nothing you type is sent to a server. If you reload the current tab your details are restored from temporary browser storage; closing the tab or pressing Clear removes them.

How do I save it as a PDF?

Press “Download PDF”. That opens your browser’s print dialog — choose “Save as PDF” as the destination. On iPhone and Android, choose the share icon and then Save to Files or Print.

What has to be on an invoice?

A unique invoice number, your business name and address, the customer’s name and address, a description of what you are charging for, the supply date, the invoice date, the amounts, any VAT, and the total owed. If you are VAT registered you also need your VAT number and VAT shown separately.

Can I add my logo?

Not in the browser template — it keeps the page fast and private. The Invoice Easy app adds your logo, brand colour, saved clients, automatic numbering and payment tracking.
